Privacy Policy

This policy explains what information we collect, how we use it, and the choices you have when using Senderup.

1. Who we are

Senderup ("Senderup", "we", "us", or "our") provides an email warmup and deliverability platform. This Privacy Policy applies to our website, web application, and related services (collectively, the "Service").

2. Information we collect

Account information

When you register, we collect your email address and, if you choose password sign-in, a hashed password. If you sign in with Google or Microsoft, we receive basic profile information (such as your name and email) from those providers.

Mailbox connection data

When you connect a mailbox for warmup, we store the information needed to send and receive email on your behalf, which may include:

  • Mailbox email address and provider (Gmail, Microsoft, or SMTP/IMAP)
  • OAuth access and refresh tokens (for Google and Microsoft connections)
  • Encrypted SMTP/IMAP credentials (if you connect a mailbox manually)
  • Email metadata and content processed during warmup (subjects, snippets, thread IDs, send/receive events)

Usage and technical data

We automatically collect information such as IP address, browser type, device information, pages visited, and log data related to Service performance, security, and debugging.

Billing information

If you subscribe to a paid plan, payment processing is handled by our payment provider. We receive billing status and limited transaction details, not full card numbers.

3. How we use your information

We use the information we collect to:

  • Provide, operate, and maintain the Service, including automated email warmup
  • Authenticate you and manage your account and workspace
  • Monitor deliverability, reputation metrics, and DNS checks for connected domains
  • Send transactional emails (verification codes, password resets, service notices)
  • Improve the Service, troubleshoot issues, and prevent fraud or abuse
  • Comply with legal obligations and enforce our Terms of Service

If you enable AI-generated warmup content, message text may be sent to a third-party AI provider solely to generate warmup copy. We do not use your mailbox content to train public models.

4. Legal bases (EEA/UK users)

Where applicable, we process personal data on the following bases:

  • Contract: to provide the Service you signed up for
  • Legitimate interests: to secure, improve, and analyze the Service
  • Consent: where required (for example, optional marketing communications)
  • Legal obligation: where we must retain or disclose data by law

5. How we share information

We do not sell your personal information. We may share data with:

  • Infrastructure providers (hosting, databases, queues, email delivery) who process data on our behalf under contractual safeguards
  • Email providers (Google, Microsoft, or your SMTP/IMAP host) when you authorize mailbox access
  • Payment processors for subscription billing
  • Professional advisors or authorities when required by law or to protect rights, safety, and security

6. Data retention

We retain account and mailbox data while your account is active. Warmup logs and metadata may be kept for a reasonable period to provide analytics and support. When you delete a mailbox or close your account, we delete or anonymize associated data within a commercially reasonable timeframe, except where retention is required by law or for legitimate business purposes (such as billing records or dispute resolution).

7. Security

We use industry-standard measures to protect your data, including encryption in transit (TLS), encryption at rest for sensitive credentials (such as SMTP passwords), access controls, and secure session handling. No method of transmission or storage is completely secure; you are responsible for keeping your account credentials confidential.

8. Your rights and choices

Depending on your location, you may have the right to:

  • Access, correct, or delete your personal data
  • Object to or restrict certain processing
  • Export your data in a portable format
  • Withdraw consent where processing is consent-based
  • Lodge a complaint with your local data protection authority

You can revoke mailbox access at any time from your Google or Microsoft account settings, or by disconnecting the mailbox in Senderup. To exercise other rights, email privacy@senderup.in.

9. International transfers

We may process and store information in countries other than where you live. Where required, we use appropriate safeguards (such as standard contractual clauses) for cross-border transfers.

10. Cookies

We use essential cookies and similar technologies to maintain your session, protect against abuse, and remember preferences. We do not use third-party advertising cookies on the core application.

11. Children

The Service is not intended for users under 16. We do not knowingly collect personal information from children.

12. Changes to this policy

We may update this Privacy Policy from time to time. We will post the revised version on this page and update the "Last updated" date. Material changes may be communicated by email or in-app notice.
